Privacy policy

How Alectrona collects, uses and protects your personal data when you contact us, request a quote, or use this website. Compliant with UK GDPR, the Data Protection Act 2018, and the ICO's guidance.

1. Who we are

This website is operated by RVTC LTD, trading as Alectrona ("we", "us", "our"). We are a company registered in England and Wales, company number 16980210, and are registered for VAT (VAT number: Pending). Our registered office is Suite 512, 33 Great George Street, Leeds, West Yorkshire, LS1 3AJ, United Kingdom.

Alectrona designs and installs solar PV and battery storage systems for homes and businesses across the United Kingdom.

2. Information we collect

When you submit a form on this website, request a quote or survey, or otherwise contact us, we collect the personal data you provide. This typically includes:

  • Your name
  • Email address
  • Phone number
  • Postcode or site address (so we can scope a survey or quote)
  • Information about your property and any existing solar system, such as inverter brand, roof details, and roughly what you pay for energy
  • The content of any free-text messages you send us, and any photos you choose to attach
  • Any additional information you choose to provide

We do not collect bank-account, card-payment, or special-category personal data through this website. Payments for installation work are handled separately by invoice, where standard card-handling rules apply.

We also collect a small amount of technical data, such as your IP address, browser type, and the page that referred you, through standard server logs. This helps us keep the site secure and understand how it is performing. It is not used to identify you as an individual.

3. How we use your information

We use the personal data you give us to:

  • Respond to your enquiry and provide the quote, survey or installation you have asked for
  • Arrange site surveys, design work, and installation dates
  • Send written quotes, designs and follow-up materials specific to your enquiry
  • Keep a record of customer enquiries and the work we have done, which we need for warranty, insurance and complaints purposes
  • Comply with our legal obligations, including HMRC record-keeping and electrical-safety requirements
  • Improve the website, our service, and the content we publish

We do not sell or rent your personal data, and we do not share it for third-party marketing.

Under the UK GDPR and the Data Protection Act 2018, we rely on the following lawful bases:

  • Contract: where you have asked us to provide a service, we process your data to perform that contract, for example to arrange a survey, prepare a design, or carry out an installation.
  • Legitimate interests: where you have contacted us before any service is agreed, we rely on our legitimate interest in responding to enquiries. This basis is balanced against your rights.
  • Legal obligation: to comply with tax, regulatory and safety record-keeping requirements.
  • Consent: for any optional marketing email, which we only send if you ask us to. You can withdraw consent at any time.

5. Forms, third-party processors and where your data goes

Forms on this website are submitted to Formspree, our form-handling provider. Formspree forwards each submission to our email and stores a copy on its servers in the US and EU under a data-processing agreement. Formspree's processing is governed by its own privacy policy.

To reduce spam, our forms use a hidden honeypot field only. This is a field that real visitors never see or fill in, so it does not collect any information about you. We do not use a third-party CAPTCHA service.

This site is hosted on Cloudflare Pages. Cloudflare processes IP addresses and request logs in its role as our hosting and content-delivery provider.

We do not use advertising cookies, advertising pixels, or social-media tracking tags on this website.

6. Cookies and server logs

This website uses only functional cookies, which are the cookies needed for the site to work. We do not set advertising or cross-site tracking cookies.

Our hosting provider keeps standard server logs, which record technical details such as IP addresses and the pages requested. These logs help us keep the site secure and running, and are typically held for around 90 days before they are deleted.

7. How long we keep your data

We keep personal data only as long as we need it for the purpose it was collected for:

  • Enquiry-only contacts (no work agreed): up to 24 months, then deleted.
  • Customer records (where we have carried out work): 7 years from the last service date, to meet HMRC requirements and to support warranty and insurance records. After that, records are deleted or anonymised.
  • Server logs: typically around 90 days at the hosting layer.

8. Data security

We take reasonable technical and organisational measures to protect personal data, including encrypted transmission (HTTPS across this site), restricted access to customer records, and the use of reputable third-party processors with data-processing agreements in place.

No system is completely secure. If a personal-data breach occurs that is likely to risk your rights and freedoms, we will notify the Information Commissioner's Office within 72 hours and, where required, notify you directly.

9. Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Have data deleted where one of the legal grounds for erasure applies
  • Restrict or object to our processing
  • Receive a portable copy of your data
  • Withdraw consent at any time, where consent is the lawful basis
  • Complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint

This website contains links to third-party websites, such as manufacturer documentation and regulatory bodies. We are not responsible for the privacy practices or content of external sites. Read their privacy policies before submitting personal data to them.

11. Children's privacy

This website is intended for adults. We do not knowingly collect personal data from anyone under the age of 16. If you believe a child has provided personal data to us, contact us and we will delete it.

12. Changes to this policy

We review this policy at least once a year and update it when our practices change. The current version is always published at this address, with the date of the last update shown at the top.
